Trackdesk provides a set of automation scenarios that help you connect your Gmail account with your affiliate program.
Using the Gmail Popular Template, you can automatically send an email to an affiliate each time a new conversion occurs in Trackdesk.
You can also build your own custom automation workflows using Custom Automations, where many more triggers and actions are available.
This article explains how to access the Gmail Popular Template, enable its scenario, and customize it to fit your workflow.
Accessing the Gmail Popular Template
To access the template:
Log in to your Trackdesk workspace.
In the main menu on the left, click Integrations.
The Popular Templates section loads automatically.
Scroll to the E-mailing category.
Select the Gmail ↔ Trackdesk template.
This template contains all Gmail automation scenarios predefined by Trackdesk.
Available Scenario
The Gmail Popular Template currently includes one ready-to-use scenario:
Send email to affiliate on new conversion
Sends an email to an affiliate when a new conversion occurs in Trackdesk.
This scenario can be activated independently.
Connecting Gmail
When installing your first Gmail-related scenario, Trackdesk will prompt you to authorize your Gmail account.
To connect Gmail:
Click Install next to the Gmail scenario.
Follow the instructions on the screen to connect your Gmail account.
Grant the required permissions.
Confirm the connection.
Installing and Enabling the Scenario
To enable the scenario:
Open the Gmail Popular Template.
Click Install on the scenario.
Select your Gmail account if prompted.
Add required information into the builder if needed.
Toggle the scenario ON using the switch on the scenario row or by clicking Start at the bottom.
Once enabled, Trackdesk will automatically send an email to the affiliate when a new conversion occurs.
Customizing the Scenario
You can adjust:
The content of the email
The email subject
Which conversions should trigger the email
Additional conditions or filters
These options help you tailor the integration to your communication needs.
Troubleshooting
Email not being sent?
• Ensure the scenario toggle is ON.
• Verify the affiliate has a valid email address.
• Confirm your Gmail authorization is active.
Template not visible?
• Refresh the Integrations page. Popular Templates update automatically.
