HubSpot Integration And Popular Templates

Trackdesk provides built-in automation scenarios that help you connect your HubSpot CRM activity with your affiliate program. Using the HubSpot Popular Template, you can automate tasks like creating conversions, syncing contacts, or generating affiliates based on specific events in HubSpot.

If you need even more flexibility, you can build unique workflows via Custom Automations, which offer an expanded range of triggers and actions.


1. Accessing the HubSpot Popular Template

To find the template in your dashboard:

  1. Log in to your Trackdesk workspace.

  2. In the main menu on the left, click Integrations.

  3. Open the Popular Templates section.

  4. Scroll to the CRM category.

  5. Select the HubSpot ↔ Trackdesk template.

This template contains all HubSpot automation scenarios predefined by Trackdesk.


2. Available Scenarios

Inside the HubSpot Popular Template, you will find three main ready-to-use scenarios:

  • Create conversion on deal status change: Automatically creates a Trackdesk conversion when a HubSpot deal reaches a specific stage, such as "Closed Won".
    ​

    • Note: As an offer integration, this scenario requires a tracking connection.

  • Create new affiliate in Trackdesk: Generates a Trackdesk affiliate whenever a new contact is added to HubSpot.

  • Create new contact in HubSpot when affiliate signs up: Automatically adds a contact to HubSpot when a new affiliate registers in Trackdesk.

Each scenario can be turned on independently.


3. Connecting Your HubSpot Account

The first time you install a HubSpot-related scenario, you will be prompted to authorize your account:

  1. Click Install on any scenario within the template.

  2. Follow the on-screen instructions to authorize Trackdesk's access to HubSpot.

  3. Confirm the connection.


4. Enabling a Scenario

To activate an automation:

  1. Open the HubSpot Popular Template.

  2. Click Install on the scenario you want to use.

  3. Select your HubSpot account if prompted.

  4. Add any required information into the builder if needed.

  5. Toggle the scenario to ON using the switch on that row, or click the Start button at the bottom.

The automation will begin running immediately as events trigger.


5. Customizing Your Workflow

You can tailor these scenarios to your internal processes by adjusting settings such as:

  • Selecting which HubSpot deal stage triggers a conversion.

  • Defining which specific contacts should generate new affiliates.

  • Mapping custom fields between HubSpot and Trackdesk.

  • Adding additional conditions or filters.

6. Troubleshooting

Conversions are not triggering

  • Check that the scenario is currently enabled.

  • Make sure the HubSpot deal stage exactly matches your trigger settings.

Affiliates or contacts are not being created

  • Confirm that required data fields (like email) exist on the contact record.

  • Verify that your HubSpot authorization is still active.

Template is not visible

  • Refresh the Integrations page; Popular Templates update automatically.
