Trackdesk provides built-in automation scenarios that help you connect your HubSpot CRM activity with your affiliate program.
With the HubSpot Popular Template, you can automate tasks such as creating conversions, syncing contacts, or generating affiliates whenever certain events occur in HubSpot.
You can also build your own custom automation workflows using Custom Automations, where many more triggers and actions are available.
This guide explains how to access the HubSpot Popular Template, activate its scenarios, and customize them to suit your needs.
Accessing the HubSpot Popular Template
To find the HubSpot template:
Log in to your Trackdesk workspace.
In the main menu on the left, click Integrations.
Open the Popular Templates section.
Scroll to the CRM category.
Select the HubSpot ↔ Trackdesk template.
This template contains all HubSpot automation scenarios predefined by Trackdesk.
Available Scenarios
Inside the HubSpot Popular Template, you will find the following scenarios:
Create conversion on deal status change
Automatically creates a Trackdesk conversion when a HubSpot deal reaches a specific stage (for example, Closed Won).
NOTE: that this template being an offer integration, it requirest a tracking connection, more details in the top section on the Offer integrations.
Create new affiliate in Trackdesk
Creates a Trackdesk affiliate whenever a new contact is added in HubSpot.
Create new contact in HubSpot when affiliate signs up
Adds a HubSpot contact automatically when a new affiliate registers in Trackdesk.
Each scenario can be turned on independently.
Connecting HubSpot
The first time you install any HubSpot-related scenario, Trackdesk will prompt you to authorize your HubSpot account.
To connect HubSpot:
Click Install on any scenario in the template.
Follow instructions on the screen to connect and authorize access to your HubSpot account.
Confirm the connection.
Installing and Enabling a Scenario
To enable a scenario:
Open the HubSpot Popular Template.
Click Install on the scenario you want to activate.
Select your HubSpot account if asked.
Add required information into the builder if needed.
Toggle the scenarios on by using the switch on the row of the scenario or the Start button at the bottom.
The automation will start running immediately after started and selected events start triggering.
Customizing Scenarios
Each scenario offers customization options. You can adjust e.g., but not limited to:
Which HubSpot deal stage triggers a conversion
Which contacts should create affiliates
Custom field mapping between HubSpot and Trackdesk
Additional conditions or filters
These settings allow you to adapt the workflow to your specific internal processes.
Troubleshooting
Conversions not triggering?
• Check the scenario is enabled.
• Make sure the HubSpot deal stage matches your trigger setting.
Affiliates or contacts not being created?
• Confirm required data fields (such as email) exist on the contact.
• Verify your HubSpot authorization is still active.
Template not visible?
• Refresh the Integrations page. Popular Templates update automatically.
