Login with Magic Link

Eliminate the need to remember complex passwords.

Written by Sasha Gerold

Trackdesk offers a secure and convenient way to access your account using Magic Link authentication. This passwordless login option provides a seamless experience while maintaining high security standards.

What is Magic Link Login?

Magic Link is a passwordless authentication method that allows you to log in to your Trackdesk account without typing a password. Instead, you'll receive a secure link sent directly to your email address. Clicking this link will automatically authenticate you and grant access to your account.

How to Use Magic Link Login

  1. Access the login page - Navigate to the Trackdesk login screen

  2. Select Magic Link option - Click the "Continue with magic link" button at the bottom of the login form

  3. Enter your email address - Provide the email address associated with your Trackdesk account

  4. Request the Magic Link - Click the "Send magic link" button

  5. Check your email - A secure login link will be sent to your inbox

  6. Click the link - Open the email and click the magic link to be automatically logged in to your account

Key Benefits

  • No passwords to remember - Eliminate the need to create and recall complex passwords

  • Enhanced security - Each magic link is unique, time-limited, and can only be used once

  • Convenience - Log in with just a few clicks without typing credentials

  • Reduced risk - Avoid potential password-related security vulnerabilities

Important Notes

- Magic links expire after 60 minutes for security reasons

- Each magic link can be used only once

- If a link has expired or been already used, you'll need to request a new one

- For security reasons, always ensure you're on the legitimate Trackdesk domain before clicking any login links

Email Delivery

Magic link emails are delivered through Trackdesk's default email infrastructure unless you have configured a custom SMTP server. If you've set up custom SMTP, magic link emails are routed through it like all other transactional emails - meaning deliverability, sender reputation, and DKIM/SPF alignment are governed by your SMTP setup.

See Custom SMTP Email Server for setup details.

Magic Links for Affiliates

When Creating Affiliates Manually

When adding a new affiliate via the form:

  1. You'll be asked if you want to "Set password to the affiliate account?"

  2. You'll also be asked if you want to "Send a welcome email?"

  3. If you choose to send a welcome email, affiliates will receive a magic link to access their account immediately

  4. If you choose not to send a welcome email, affiliates can still log in later using the email address provided

When Bulk Uploading Affiliates via CSV

When importing affiliates through a CSV file:

  1. Upload your CSV file with the required affiliate information

  2. Map the columns appropriately (email is required, name and other fields are optional)

  3. Select whether to set passwords for the affiliates or not

  4. Choose whether to send welcome emails with magic links

  5. If you select to send welcome emails, each affiliate will receive a magic link to access their account

Magic links provide a perfect balance of security and convenience for your Trackdesk account, eliminating the need to remember complex passwords while ensuring only authorized users can access the platform.

Troubleshooting

The magic link email didn't arrive

  • Check the spam or junk folder.

  • Confirm the email address used matches the one on the account exactly.

  • If your tenant uses a custom SMTP server, check the SMTP logs and deliverability settings on your side.

  • Wait a minute or two - delivery can be delayed depending on the email provider.

  • If the email still doesn't arrive, request a new magic link or contact your account administrator.

The link says it has expired or is invalid

Magic links expire after 60 minutes and can only be used once. If either condition is hit, simply request a new link.

I clicked the link but nothing happened

Make sure you're clicking the link in the same browser you intend to log in with, or copy and paste the full URL into the browser you want to use. Some email clients open links in an in-app browser that may not retain the session.

Note: Login via magic link is available for all user roles.
