Billing status controls whether an affiliate's earnings are counted in your open balances. It lets you take an affiliate out of your payout totals without touching their tracking, their commissions, or their access to the platform.
This is useful when an affiliate is paid outside Trackdesk, when a balance is in dispute, or when you want a partner's performance recorded but settled separately.
The two values
Included (green): the default. The affiliate's earnings count towards your open balance and they are picked up by settlements as normal.
Excluded (red): the affiliate's earnings are removed from your open balance totals and reported on a separate breakdown line instead.
💡 Excluding an affiliate does not stop anything else. Their clicks and conversions are still tracked, their commissions are still generated, and they keep full access to their account. Only the open balance total changes.
Every affiliate that existed before this feature was introduced is set to Included, so your balances are unchanged until you set someone to Excluded yourself.
Setting an affiliate's billing status
Go to the Affiliate list and open the affiliate.
Find Billing status in the Basic info panel.
Switch it to Included or Excluded.
The change saves immediately and is written to the activity log as Affiliate billing status changed, with the previous and new value.
How an excluded affiliate appears in Open balance
Open your Billing → Open balance page. The summary at the top shows your total open balance with excluded affiliates already taken out, and adds a red breakdown line:
Billing status excluded: {amount} {currency}
Hover it to see the amount split into Open balance and On hold. It sits alongside the breakdown lines you already know (Payment method not set and On-hold), so you can always see what has been held back and why.
If you have no excluded affiliates, your totals look exactly as they did before and the line does not appear.
Where else billing status appears
Affiliate list column: add the Billing status column to see the value for every affiliate at a glance.
Affiliate list filter: a Billing status multiselect filter, so you can list just your excluded affiliates.
CSV export: the affiliate export includes a Billing status column, between Traffic status and Country. See Export Affiliates to CSV.
API and integrations: the affiliate payload carries a
billingStatusfield, which is also sent in webhooks and in the Zapier New Affiliate trigger.
Who can change it
Owners and Admins: can set billing status for any affiliate.
Super Affiliate Managers: can set it for any affiliate.
Affiliate Managers: can set it only for the affiliates assigned to them.
Affiliates: cannot see or change their own billing status.
On protected affiliate accounts the control is disabled unless you are a super admin.
Billing status versus the other statuses
An affiliate account carries three independent settings. Billing status is the one that affects money only:
Affiliate status → controls access to the platform.
Traffic status → controls whether clicks and conversions are tracked.
Billing status → controls whether earnings count towards your open balance.
For the first two, see Understanding Affiliate Status and Affiliate Traffic. For settling balances, see The Billing Overview.
