Trackdesk groups its reports into three sections in the Reports menu: Performance for shared reports that everyone in your workspace works from, My reports for personal reports you build and save yourself, and Granular for row-by-row reports of every click and conversion. This article explains how the sections differ, how to build and save your own report, and how admins publish shared reports for each role.
How the Reports menu is organized
Click Reports in the main menu to open the Reports panel. It lists three groups, followed by a New report button at the bottom:
Performance — Shared workspace reports with aggregated totals: the Daily overview, the Funnel report, and the reports your admin has assigned to your role.
My reports — Your personal reports. Only you see the reports you saved from the report builder. Click one to open it, or click New report to build another one.
Granular — One row per click (Clicks), per conversion (Conversions), or per multi-level commission (MLM commissions).
Affiliates and advertisers see the same menu with the reports their role allows, including the shared reports assigned to their role. Affiliates find MLM commissions under the separate MLM menu instead.
Performance reports
Performance reports show totals instead of individual events, so you can compare periods, affiliates, and offers at a glance. They are shared across the workspace: the Daily overview and the Funnel report are the same for everyone, and admins add further reports for each role.
Daily overview — One row per day for the selected date range, with a chart above the table. Use the toolbar to change the date range, pick the Conversion statuses that are counted, show or hide the chart, choose the Columns, and Export the table to CSV.
Funnel report — Shows how clicks move through the conversion types of a funnel you define. It appears when conversion funnels are available on your plan. See Conversion Funnels and Funnel Report.
Shared reports for your role — Reports an admin publishes for a role in your workspace. Everyone in the role sees the same reports with the same configuration, listed below the Funnel report. They open in the report builder, and users can't rename, change, or delete them. By default, admins, affiliate managers, and super affiliate managers have one called Affiliate, which groups performance by affiliate.
You can adjust a shared report on screen, for example by changing the date range or adding a filter. The shared report itself stays unchanged, and you can save your version as a personal report in My reports. To publish shared reports for a role, see Shared reports for each role below.
Build your own report
Click New report at the bottom of the Reports panel. The report builder opens on a single screen with a Report configuration panel. Nothing is calculated until you click Generate report, so you can adjust everything first.
While no grouping is selected, the screen offers a Quick start. Click a card such as Affiliate, Offer, or Country to preselect that grouping, then click Generate report. The cards you see depend on your role and on the features in your plan.
The panel has three sections — Period, Dimensions, and Data — described below. On narrow screens they turn into tabs. After you click Generate report, the panel collapses to give the table more room. Click Show next to Report configuration to bring it back. If you change something and want to return to the report on screen, click Undo changes.
You can adjust the report in these sections:
Period — The date range and an optional comparison with another period.
Dimensions — How rows are grouped and which conversion types or statuses get their own columns.
Data — Which filters apply and which columns are shown.
Period
Date range — The period to report on. Choose Today, Yesterday, Last 7 days, Last 30 days, This month, Previous month, Last 365 days, This year, or Previous year, or pick custom dates up to 366 days apart. A new report starts with Last 7 days.
Compare periods — Switch it on to compare with another period. Compare to is filled in with the period immediately before the one you selected. It follows when you change the date range, unless you edit it yourself.
Metrics — Choose which metrics to compare. Leave it on All metrics to compare everything.
With a comparison on, every compared metric splits into three columns: Previous, Current, and Movement. Movement shows the percentage change in green when it goes up and in red when it goes down. A New badge marks values that were zero in the previous period. Rows that exist only in the comparison period appear at the bottom with zero current values.
Dimensions
In Groupings, add up to three levels. Each level breaks the rows of the previous one down further, for example Affiliate and then Offer. Click Add grouping and pick a level from the menu:
Affiliate — Affiliate, Affiliate ID, Affiliate manager, Tier.
Tracking — Country, Coupon.
Offer — Offer, Category, Landing page, Smart link, Advertiser.
Time — Hour, Day, Week, Month, Year.
Advertiser S params and Affiliate S params — Adv S1–S5 and Aff S1–S5.
Some groupings depend on your role, plan, and account type. For example, Advertiser and Hour are available on network accounts, Coupon and Smart link need those features, and affiliates can't group by other affiliates.
To change a grouping, click it and pick another level. If you pick a level that is already in use, the two swap places. Drag the handle to reorder groupings, or click the X to remove one. Next to each grouping, Sort by lets you choose any metric column to sort that level by. Time groupings also offer Chronological. Click the arrow next to the sort to switch between ascending and descending.
Use Drilldowns to add extra column groups limited to a conversion type, a conversion status, or both. Click Add drilldown, pick the conversion types and statuses, and choose the metrics to show in Drilldown columns visibility: Conversions, Revenue, Payout, Profit, and Sales on network accounts. A common use is a sale and lead drilldown that shows how many conversions were sales versus leads. When you pick both types and statuses, you get one column group for each combination.
Data
Click Add filter to narrow the report down. The available filters depend on your role and plan:
Affiliates — Affiliate, Affiliate ID, Affiliate manager, Tier, Affiliate tags.
Offers — Offers, Landing pages, Smart links, Categories, Coupons, Offer tags. Landing pages becomes available once you select an offer.
Conversions — Conversion types and Conversion statuses.
Other — Countries, Advertisers, Advertiser tags, and the Aff S1–S5 and Adv S1–S5 sub-ID filters.
Tag filters match every row that has at least one of the selected tags. A new report starts with a Conversion statuses filter set to Approved, On hold, and Pending. Clear the selection or remove the filter to include all statuses.
Use Columns to choose which metrics the table shows. Click the field, switch columns on or off, drag shown columns into the order you want, or use Search fields, Hide all, and Show all. Which metrics exist depends on your role. Admins set the starting columns in Settings → General → Dashboard and reports → Default report columns, as described in Default Report Columns.
If something is missing when you click Generate report, the panel opens on the problem and tells you to select at least one grouping, a valid date range, or at least one column.
Work with the results
Expand rows — With two or more groupings, click a row to load the next level underneath it.
Jump to clicks and conversions — Click the arrow next to a number in the Clicks or Conversions columns to open the Click or Conversion report for that row in a new tab.
Refresh — Reloads the report with the latest data.
Export — Downloads a CSV file. Choose the Line endings, the Delimiter, and the Floating point character. Timestamps follow your selected timezone. The file contains the first grouping level with all the columns available to you, but no deeper levels and no comparison data. Exports are available on plans that include report exports. See our pricing page.
The date range, groupings, filters, comparison, and drilldowns are kept in the page address, so you can bookmark the report or send the link to a teammate. Sorting and chosen columns are not part of the link. If a grouping has too many unique values, Trackdesk asks you to add a filter or choose a shorter date range.
Save a report as a preset
Saving a report adds it to My reports, so you can reopen it in one click. Saved reports are personal. Admins can also publish a report to a role instead, as described in Shared reports for each role below.
Configure the report in the builder. You need at least one grouping.
Click Save preset in the toolbar.
Fill in Report name.
Click Save report.
A saved report remembers its groupings and sorting, filters, drilldowns, and the columns you chose if they differ from the default columns. It does not remember the date range or the comparison.
💡 Saved reports open with the date range you are viewing. When you click a report in My reports, it keeps the date range of the page you are on. If there is none, it opens with Last 7 days.
To change a saved report, open it, adjust the configuration, and click Save preset. The report is updated right away, without a dialog. The This report isn't saved label tells you when the report on screen differs from the saved one. It compares groupings, sorting, drilldowns, filters, and columns, but not the date range. There is no save-as option, so start from New report if you want to keep the original.
To rename or delete a report, hover over its name in My reports, click the ⋮ menu, and choose Rename or Delete. Names must be unique, and you can keep up to 50 saved reports. Only you see your saved reports, and a link to one of them opens it only for you.
Shared reports for each role
Besides personal reports, Performance can hold reports that belong to your workspace instead of to one person. An admin builds a shared report once for a role, and everyone in that role sees the same report under Performance in their Reports menu — for example revenue by offer for your managers or clicks by country for your affiliates. Each role has its own list, and users see only the list of their own role.
Shared role reports differ from My reports in a few ways:
Who sees them — Everyone in the role, not just the person who created the report.
Who manages them — Admins, in Settings or from the report builder. Users can open a shared report but can't change or delete it.
Date range — A report created in Settings can store its own period, such as Last 30 days. Personal reports never store one.
To create a shared report in Settings:
Navigate to Settings → General → Dashboard and reports.
In the Performance report defaults box, open the tab of the role you want to set up. The badge on each tab shows how many reports the role has. The Advertiser tab appears on network accounts only.
Click Create report.
Fill in the drawer described below.
Click Create report again to save it.
The drawer contains the following fields:
Report name — The name users see in their menu. It must be unique within the role.
User role — The role that sees the report. Only users in this role find it in their Reports menu.
Period — Choose a Date range (Today, Yesterday, Last 7 days, Last 30 days, This month, Previous month, This year, or Previous year) and optionally switch on Compare periods. New reports start with Last 30 days. The range is relative, so the report always opens with the current period.
Dimensions — Up to three groupings with their sorting, and an optional drilldown. At least one grouping is required.
Data — Filters and columns. Click Use role defaults to follow the role's default report columns, or choose columns to store a layout with the report.
Every report in the list shows its name with a short summary such as 2 groupings · 1 filter · Default columns. Use the buttons next to it to manage it:
Edit — Change the report. Pick another User role to move it to a different role.
Copy — Open a copy named after the original, so you can adjust it and save it as a new report.
Delete — Remove the report from the role after you confirm.
Each role can use only what it can already see in the report builder. If the report contains a grouping, filter, or drilldown column that the selected role can't use, a warning lists the items that were removed. For example, affiliates can't group by tier or by other affiliates, and advertisers are limited to country, landing page, offer, category, and time groupings. If you switch the role in the drawer, the options are checked again, and items removed earlier come back when the new role can use them.
You can also publish a shared report from the report builder. Click Save preset, choose Performance under Save to, and pick the User role. Choose My report to keep it for yourself instead. The dialog links to Manage reports for other roles in settings.
💡 Reports saved from the builder have no date range. They open with the date range the user is viewing. To always open a shared report with a fixed period such as Last 30 days, create or edit it in Settings → General → Dashboard and reports.
By default, the Affiliate report is the only shared report, and only for admins, affiliate managers, and super affiliate managers. Once you create, edit, or delete a report for a role, that role's list is stored as you left it. If you delete every report, the role has none. Users see new, edited, and deleted reports the next time their Reports menu refreshes, for example after reloading Trackdesk. A user who adjusts a shared report and clicks Save preset saves a new personal report in My reports, and the shared report stays unchanged.
Granular reports
Granular reports list every single event instead of totals, with server-side paging and no grouping. Use them to investigate an individual click or conversion.
Clicks — One row per click, including time, country, offer, landing page, affiliate, referrer, device, and fraud signals. Click a row to open the click detail panel with the conversions the click led to.
Conversions — One row per conversion with its type, status, sales, revenue, payout, and settlement information. Click a row to open the conversion detail. If you filter by Settlement ID, the date range is disabled because the settlement defines the period.
MLM commissions — One row per multi-level commission with the parent affiliate, the commission, and the status and type of the underlying conversion. The report is shown when MLM is enabled in your account.
All three reports have a date range, a Filter button, Columns, Export, and Refresh in the toolbar. Use Filter to narrow the rows down, for example by affiliate, offer, country, or CID, and use the paging controls to choose how many rows you see at once.
When you click Export, choose the scope. Current page downloads the rows you see right away. All exports every row that matches your filters. Large exports are prepared in the background, and Trackdesk emails you a download link when the file is ready.
In the Conversion report, admins can also import conversions, manually redeem a coupon, and change the status of several selected conversions at once. See Mass Conversion Actions.
Conversion statuses and date range
Which conversions are counted depends on the report:
Daily overview and Funnel report — The Conversion statuses dropdown starts with the default your admin set in Settings → General → Dashboard and reports. Your own selection is remembered in your browser and takes priority.
Report builder and saved reports — A new report starts with Approved, On hold, and Pending. A saved report keeps the statuses it was saved with.
Conversions and MLM commissions — Show all statuses until you add a filter.
Clicks — Have no conversion status filter.
Every report opens with Last 7 days, and the date picker accepts ranges of up to 366 days. For more on the default status setting, see Dashboard and Reports. To hide or reorder columns in any report, see Hide and Reorder Report Columns.
